This Privacy Policy explains how Tutoke Tours & Adventures (“Tutoke”, “we”, “us”, “our”), based in Arusha, Tanzania, collects, uses, and protects personal information when you visit this website, submit an inquiry form, sign up for our newsletter, or message us via WhatsApp. By using this website or contacting us through it, you agree to the practices described in this policy.

1. Overview

We collect only the information needed to plan your safari, respond to your inquiry, and — if you opt in — send you occasional seasonal updates. We do not sell your personal information to third parties, and we do not use it for purposes unrelated to your trip or your explicit newsletter subscription.

2. Information We Collect

We collect information you provide directly to us, specifically:

  • Inquiry & contact forms: name, email address, phone/WhatsApp number, travel dates, party size, and any trip preferences or notes you share.
  • Newsletter signup: your email address only.
  • WhatsApp conversations: the phone number and message content you send us when you start a chat via the site’s WhatsApp links or floating widget.
  • Trade partner inquiries: company name, contact details, and business information submitted through the Trade Partners page.

We do not knowingly collect payment card details through this website; payment arrangements are handled directly and separately once a booking is confirmed.

3. How We Use Your Information

We use the information collected to: respond to your safari inquiry and prepare a personalized quote; communicate with you about your booking via email or WhatsApp; send newsletter updates if you’ve opted in (you can unsubscribe at any time); and evaluate trade partnership inquiries.

4. Third Parties

When you use our WhatsApp links, your message is sent through WhatsApp/Meta’s own platform and is subject to Meta’s privacy policy in addition to this one. Our website may also use a hosting provider and an email delivery service to operate; these providers process data only as necessary to deliver the service and are not permitted to use it for their own marketing purposes.

We do not currently share your information with any third-party lodge, camp, or airline unless a booking is confirmed and that information is necessary to complete your reservation with them directly.

5. Cookies & Analytics

This website may use basic, privacy-respecting analytics to understand which pages are most useful to visitors (e.g. page views and general geographic region), and functional cookies/local storage to remember your language preference. We do not use cookies for third-party advertising or cross-site tracking.

6. Data Retention

We retain inquiry and booking-related information for as long as necessary to fulfil your trip and for a reasonable period afterward for accounting and customer-service purposes, after which it is deleted or anonymized. Newsletter email addresses are kept until you unsubscribe.

7. Your Rights

Depending on your location, you may have the right to: request a copy of the personal information we hold about you; ask us to correct inaccurate information; ask us to delete your information; object to or restrict certain processing; request that we transfer your information to another provider in a portable format; and withdraw consent to newsletter communications at any time, including via the unsubscribe link in any email we send.

To exercise any of these rights, contact us using the details in Section 12. We will respond to verified requests within a reasonable timeframe, and in any event within the timeframe required by applicable law. We may ask you to confirm your identity before actioning a request, to make sure we don’t disclose or delete information at the request of someone impersonating you.

8. Children’s Privacy

This website is not directed at children, and we do not knowingly collect personal information from anyone under 16 without a parent or guardian submitting the inquiry on a family’s behalf as part of planning a family safari.

9. Data Security

We take reasonable technical and organizational measures to protect the information you share with us from unauthorized access, loss, or misuse — including restricting access to inquiry and booking records to the staff who need them to plan and manage your trip, and relying on reputable hosting and email infrastructure providers who maintain their own security practices. No method of transmission over the internet or method of electronic storage is 100% secure, however, and while we strive to protect your personal information, we cannot guarantee its absolute security. If we become aware of a data breach affecting your personal information, we will notify you and any relevant authority as required by applicable law.

10. International Data Transfers

As a Tanzania/Rwanda-based operator serving international travelers, information you provide may be processed by service providers (such as email or hosting platforms) located outside your home country, including in Tanzania and Rwanda. We take steps to ensure any such transfer is handled consistently with this policy.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. The “Last Updated” date at the top of this page reflects the most recent revision. We encourage you to review this page periodically.
